Navigating the landscape of privacy laws is challenging for businesses managing personal data. The complexity of legal requirements demands an investment of time and human resources for compliance, leading to the creation of data silos that restrict data access. By automating the compliance process, this compliance assistant aims to reduces manual labor, cracks the walls of data silos, and integrates privacy compliance into business operations. 


As the Product Designer responsible for the Documentation and Privacy Policy features, I got to shape business and experience innovations that complied with different U.S. jurisdictions.

Making Compliance Documentation easy

The business goal was to provide a platform for compliance documentation. Outlined by the product manager, the roadmap included:

1. Integrating an Advanced AI Engine able to summarize elements from privacy policies and related documents.

2. Development of Document Management Functionality, allowing users to upload and manage documentation.

3. Generation of Reports, offering users insights into how their policies compare with industry standards.

4. Recommendations and Policy Creation Assistance tailored to each client’s context.

The time-consuming process of drafting Privacy Policies

By conducting research through 10+ user interviews, I was able to identify pain point from the target audience when creating and/ or updating their compliance documentation, more specifically Privacy Policies. Users' pain points mostly related to the process being time consuming, which included

  1. Multiple drafts and reviews, with a large amount of stakeholders and need for leadership sign-off

  1. Regulatory changes at state, federal and international levels requires constant update on policies

  2. Interconnection of documents means addressing updates to a wide range of documents

Plenty of market opportunities

Conducting a market analysis was key to understand market opportunities. This process entailed

  1. Mapping Status of Competitors, identifying leading entities’ and market positioning in privacy compliance technology

  2. Understanding features and comparing these to user pain points identified in the research

These insights provide a strategic foundation for further development and innovation of the platform, ensuring it meets and exceeds industry standards.

The Big Question: How to gain users trust?

The research highlighted trust as the most crucial foundational base of our product. Without trust, it would be hard to get user retention.

A strategic discussion between me, the Product Manager, the Head of Design, and the Data Scientist highlighted the need for our product to to

  1. Provide consistent, accurate and relevant output

  2. Empower users to make informed decisions

  3. Ensure users data is handled securely

Privacy Policy: Update, Analysis & Update

I created low-fidelity designs for the discussion session, enabling stakeholders to visualize and better understand the proposed complex concepts and functionalities.

By bridging the gap between abstract ideas and practical implementation, the lo-fi designs allowed for the team to agree on specific questions that would provide a better experience and low development effort. Examples included:

  1. Support for Multiple File Types

  2. Scoring System comparing your privacy policy to industry standards

  3. Simplification of Legal Jargons, making policy content accessible for non-specialists

Areas for Improvement

  1. Measuring effort
    This project was developed in order to gain funding from investors. Design, in this case, could have been more focused on key actions and less on pixel-perfect.

Takeaways

1. AI Reduces Complexity
By automating tasks such as document analysis, data interpretation, and compliance assessment, AI reduces the need for extensive manual effort and expertise. This simplification makes compliance more accessible to businesses while increasing efficiency and accuracy. 

2. Collaborative Sessions with Key Stakeholders Are Essential
The project’s progression underscores the importance of involving key stakeholders in early-stage discussions.
